Section 2
Information We Collect

We only collect information that is necessary to operate our store, process your orders, communicate with you, and comply with applicable law. Below is a complete, transparent breakdown of every category of data we collect.

Category A — Order & Transaction Information

When you place an order — or attempt to place one — we collect the information needed to process and ship that order. This includes:

Full Name Billing Address Shipping Address Email Address Phone Number Payment Method Type Order Contents & Value Transaction ID
Payment Security Note: We do not store your full credit card number or CVV on our servers. All payment data is processed through PCI DSS-compliant payment processors. We only receive a tokenized reference and the last 4 digits of your card for record-keeping.
Category B — Customer Account Information

If you create a customer account on our Shopify-powered store, we collect your name, email address, a hashed password, and your saved address(es). You are not required to create an account to shop with us — guest checkout is always available. Account data is used solely for order history access, faster future checkouts, and account management communications.

Category C — Device & Technical Information

When you visit our website, our server logs and third-party analytics tools automatically collect technical data about your session. This is standard practice for any website and is used to keep the site secure, diagnose errors, and understand traffic patterns. This data includes:

IP Address Browser Type & Version Operating System Referring URL Pages Viewed & Time on Page Device Type (Desktop / Mobile) Date & Time of Visit Search Terms Used On-Site
Category D — Support & Communications Data

When you contact us via email, phone, our Contact Us page, or live chat, we collect your name, contact information, the content of your message, and any attachments you provide. This information is used solely to respond to your inquiry and maintain an accurate support record. We do not use support messages for marketing without your explicit consent.

Section 3
How We Collect Your Information

We collect information in three ways: directly from you, automatically when you use our website, and through third-party services that support our store operations.

Directly From You

When you complete a purchase, create an account, subscribe to our email list, submit a support request, or fill out any form on our website, you are directly providing us with information.

Cookies & Tracking Technologies

We use cookies — small data files placed on your browser — to keep your cart active, remember your preferences, prevent fraud, and understand how visitors use our site. Types of cookies we use:

Essential Cookies: Required for checkout and cart functionality. Cannot be disabled without breaking the store.
Analytics Cookies: Used by Google Analytics to measure traffic and page performance. These are anonymized.
Marketing Cookies: Used by Google Ads and Meta Pixel to serve relevant ads on other platforms. You may opt out — see Section 6.
From Third-Party Services

When you complete a payment, our payment processors (such as Shopify Payments, PayPal, or Stripe) provide us with a transaction confirmation and tokenized billing data. We do not receive or store your raw card details — those are handled entirely by the payment processor under their own PCI DSS-certified environment.

Section 4
How We Use Your Information

We use your personal information only for the purposes listed below. We do not use your data in any way that you would not reasonably expect when shopping at an honest, U.S.-based online store.

Order Fulfillment & Shipping

Your name, shipping address, and contact information are used to process, pack, and ship your order via UPS or another carrier. Your email is used to send order confirmations, shipping notifications, and tracking information.

Payment Processing & Fraud Prevention

Transaction details are used to charge the correct amount and are passed to our payment processor to detect and prevent fraudulent orders. Suspected fraud may result in order cancellation and reporting to the appropriate authorities.

Customer Support

When you reach out regarding an order, a return, a warranty claim, or any other issue, we use the contact information and order details you provide to look up your account and resolve your request efficiently.

Transactional & Marketing Emails

We send transactional emails (order confirmations, shipping updates, return status) to all customers. If you have opted in to our email list, we also send promotional emails about new products and offers. You can unsubscribe from marketing emails at any time using the unsubscribe link in any email, or by contacting us at support@thephonesupplyco.com. Unsubscribing from marketing does not affect transactional emails related to active orders.

Website Analytics & Improvement

Anonymized and aggregated browsing data collected via cookies helps us understand how visitors navigate the site, which products are popular, and where the checkout experience can be improved. This data does not identify you personally.

Legal Compliance & Record-Keeping

We are required by law to retain certain transaction records (including purchase amounts, billing addresses, and tax data) for tax reporting purposes under IRS regulations and Iowa state tax law. We retain only what is legally required and for no longer than the applicable retention period.

Section 5
Third-Party Data Sharing

We do not sell your personal information to any third party. We do share data with specific service providers who help us operate the store — but only the data they need, and only under strict contractual data processing agreements. The complete list of third parties we work with is disclosed below.

We have never sold, and will never sell, your personal data to data brokers, advertisers, or any unrelated third party for monetary compensation.

Section 6
Advertising, Analytics & Opt-Out

We use third-party advertising and analytics tools to understand how our store performs and to show relevant ads to people who have visited our website. This section explains what tools we use, what data they access, and how you can opt out of each one.

Google Analytics

Google Analytics uses anonymized cookies to track page views, session duration, traffic sources, and conversions. IP addresses are anonymized. We use this data to improve our store — not to identify individual visitors.

Opt out: Install the Google Analytics Opt-Out Browser Add-On.

Google Ads (Remarketing)

We may run Google Shopping and search ads. Conversion tracking cookies tell us when an ad resulted in a purchase. Remarketing cookies may show our ads to previous website visitors across Google's network.

Opt out: Visit Google Ad Settings or enable "Do Not Track" in your browser.

Meta Pixel (Facebook / Instagram)

The Meta Pixel tracks page visit events and may match hashed email addresses to Meta accounts to show our ads to people who visited our store. No raw personal information is sent directly to Meta.

Opt out: Visit Facebook Ad Preferences or use the Digital Advertising Alliance opt-out tool.

Additional Opt-Out Options

You may also opt out of interest-based advertising industry-wide through the Network Advertising Initiative (NAI) opt-out page or the Digital Advertising Alliance (DAA) opt-out tool. Most modern browsers also allow you to block third-party cookies entirely in your browser privacy settings. Note: blocking essential cookies may prevent the shopping cart and checkout from functioning correctly.

Section 7
How Long We Keep Your Data

We retain personal information only as long as necessary for the purpose it was collected, or as required by U.S. law. The table below summarizes our retention schedule.

Data Type Retention Period Reason
Order & transaction records 7 years IRS tax record requirements (26 U.S.C. § 6001) and Iowa state tax law

Support & communications 3 years from last contact To maintain accurate service history for dispute resolution
Marketing email list Until unsubscribe request CAN-SPAM Act compliance
Analytics & cookie data 26 months (Google Analytics default) Industry standard for website performance tracking
Section 8
How We Protect Your Data

We take reasonable and industry-standard technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction.

SSL / TLS Encryption

All data transmitted between your browser and our website is encrypted using SSL/TLS. Look for the padlock icon in your browser's address bar.

PCI DSS Compliance

We never store raw card numbers. All payment data is tokenized and processed through PCI DSS-certified processors — we only receive a payment reference token.

Shopify-Hosted Infrastructure

Our store runs on Shopify's enterprise-grade infrastructure with built-in DDoS protection, intrusion detection, and automatic security patches.

Access Controls

Access to customer data is restricted to authorized personnel who need it to perform their job. We do not give third parties access to customer data beyond what is described in Section 5.

Important Limitation

No method of transmitting data over the internet is 100% secure. While we implement strong safeguards, we cannot guarantee absolute security of your information. If you believe your account or data has been compromised, please contact us immediately at support@thephonesupplyco.com.
